Administrative Services

BNF Technologies Inc. has been successfully providing a full-range range of administrative support services under contracts and purchase orders to 20 different Federal clients for over 17 years.

We have supported offices such as Management Services; Export Credits; Program Planning and Evaluation; International Travel; Outreach and Educational Services; Treaty Compliance; Strategic Trade; and Chief of Operations.

The levels of support provided have included everything from receptionist; executive secretarial; conference assistant; contract closeout; voucher and credit card processing; procurement request processing; mail processing; receipt and distribution of public filings; scanning and data conversion; operation of peripheral equipment; support to agency transcription services; file room management; filing; data entry and tracking; maintaining databases; travel management; document support; report generation; records management; development and implementation of policies and procedures; and training and assistance for system users.

Much of our experience has been gained from 8 years in support of the U.S. Department of Agriculture (USDA) and more than 12 years in support of the Department of Commerce (DoC). We provided records management, database management, and clerical support to the Department of State (State) for over 9 years, and are currently providing the same support services to many other agencies.

BNF provides assistance in contract close out. We review the inventory of completed task orders issued and compile an inventory of completed task orders that are ready for close out. We develop form letters and checklists to use to obtain the necessary certifications and releases from both the COTR and the vendor. We prepare the necessary approval packages, obtain the needed certifications and releases, and initiate modifications to the task orders to de-obligate excess funds and close the task orders. We work with the accounts receivable office to develop procedures to return excess funds from Customer Service Agreements to the customer.

BNF provides assistance in closeout of general purchase orders. We provide on-site administrative services to enable accurate and prompt payment of invoices by examining supporting documents to verify payment amounts. Tasks include review of documents for compliance with pertinent laws and regulations, making deductions for improper charges, preparing Voucher Statements, creating, organizing, and labeling folders for payment documents, forwarding materials to a Certifying Officer for review and processing, making a Document Control Register and Courier Transfer Sheet, recording payment entries into an internal database for payment tracking, and separating and filing completed documents.

We have provided administrative support in logistically supporting the ongoing review of export technology reviews, coordinating with the Departments of Defense and State and the CIA in a Top Secret environment. Our support functions included maintaining a large scanning operation, scheduling of reviews and meetings, preparation of agenda and minutes, establishment of document and records control, processing of decisions, and technical and financial tradeoff analyses.

BNF staff maintain Government-furnished computers, peripheral equipment, word processors, scanners, software, etc. and continually assess equipment and systems performance and schedule upgrades or repairs, as necessary.

Our staff provide logistics support functions, data administration, and coordination of requests for supplies and services both manually and electronically through the Job Request Tracking System and the Logistic Management System. This includes database file maintenance, coding documents, data entry, report generation, and training and assistance for system users.

Our support functions include a full range of correspondence preparation and report development, user and training manuals, and Power Point presentations.

Our clerical support duties range in complexity from answering telephones to maintaining databases. We process incoming mail, faxes and other miscellaneous communications and operate all standard office equipment such as copiers, faxes, multi-line telephones, word processors, etc. Additionally, we process time and attendance records, coordinate training, schedule meetings, and perform receptionist duties. Further, our receptionist duties routinely include correspondence distribution and control.

We provide a large variety of general administrative and technical support to Travel Operations Offices, including document analysis, encoding, data entry, report development, travel case processing, database file maintenance, correspondence, and passport processing. We also evaluate and process overseas credit card transactions.

We screen and segregate office files, re-label drawers, box retired records for shipment to the Federal Records Center or National Archives, and prepare documentation for the agency's Records Manager.
